Storms, strikes and technical problems all end the same way: a red "Cancelled" on the departures board and a crowd at the service desk. What you do in the next half hour decides whether you fly out tonight or in three days. Here is a calm, practical plan, and a clear summary of what airlines owe you in the US and in Europe.
Quick answer
- Minute 0 to 5: open the airline app and rebook. Do not wait in line first.
- Minute 5 to 15: join the desk queue and call the airline at the same time.
- Minute 15 to 30: screenshot everything, ask about meals and hotel, and decide: new flight or refund.
- Later: claim refunds, expenses and, in Europe, compensation.
The First 30 Minutes, Step by Step
- Rebook in the app first. Airlines often offer automatic rebooking options in the app or by text. Look at the options before you accept: a later flight today on a partner may be better than tomorrow on the same airline.
- Queue and call at the same time. Whoever reaches an agent first, the desk or the phone, wins. If the US number is busy, try the airline's number for another country or its chat.
- Know what to ask for. A seat on the next flight, a flight on a partner airline, a different nearby airport, or a refund.
- Take screenshots of the cancellation message and the reason given. You will need them for refunds, insurance and compensation.
- Ask about meals and a hotel if you are stuck overnight, and keep every receipt.
- Do not accept a voucher if you want your money back. A voucher is not a refund.

What Airlines Owe You: US vs Europe
| US flights | EU261 flights | |
|---|---|---|
| Refund if you choose not to travel | Yes, for any cancellation or significant change | Yes |
| Rebooking | Offered by airlines, not a fixed legal right | Yes, at the earliest opportunity, including on other airlines |
| Meals and hotel | Airline commitments when the cause is within its control | Yes, whatever the cause |
| Cash compensation | No legal requirement | 250 to 600 euros when the airline is responsible and notice was under 14 days |
| Weather and air traffic control | Refund only | Refund or rerouting and care, no compensation |
EU261 applies to all flights departing from the EU and to flights arriving in the EU on an EU airline. So a Delta flight from Paris to New York is covered, but a Delta flight from New York to Paris is not; an Air France flight in either direction is.
After You Get Home: Claim What You Are Owed
- Refunds: under US rules, refunds to a credit card are due within 7 business days. If it does not arrive, file a complaint with the US Department of Transportation.
- Expenses: send receipts for meals, hotel and transport to the airline's customer relations team.
- EU compensation: claim directly with the airline, or use a no-win, no-fee service such as AirHelp or Compensair, which take a share of the payout.
- Travel insurance: trip delay and trip interruption cover can pay for costs the airline does not, especially for weather. If you are choosing a policy for your next trip, compare options with EKTA.

FAQ
What should I do first when my flight is cancelled?
Rebook in the airline app right away while you join the queue at the desk and, if needed, call the airline. Seats on the next flights go to whoever asks first.
Can I get my money back instead of a new flight?
Yes. Under US rules and EU261, if the airline cancels your flight you can choose a refund instead of travelling. Under US rules the refund is automatic if you decline the alternatives; do not accept a voucher if you want cash.
Does the airline have to pay for my hotel?
Under EU261, yes: the airline must provide meals and, if needed, a hotel and transfers while you wait for a rerouted flight, whatever the cause. In the US, there is no general legal requirement, but large airlines have published commitments to provide meal and hotel vouchers when a cancellation is within their control. Check the US DOT airline customer service dashboard.
When do I get compensation, not just a refund?
Under EU261, when the cancellation is within the airline's control and you were told less than 14 days before departure: 250 to 600 euros depending on distance. US law does not require cash compensation for cancellations.
Should I book a new flight on another airline myself?
Only as a last resort, and keep all receipts. Under EU261 you can ask for rerouting on another airline; in the US, some airlines will rebook you on partners if you ask. Buying a new ticket yourself may not be reimbursed unless the airline agreed to it.
